Job Description
The Order Processing Coordinator is a vital role within our organization, responsible for ensuring the smooth and efficient processing of customer orders. This position plays a crucial part in maintaining customer satisfaction by accurately processing orders, coordinating with various internal departments, and addressing any issues or concerns that may arise during the order fulfillment process. The Order Processing Coordinator will work closely with the sales team, operations team, warehouse personnel, and customer service representatives to ensure timely and accurate delivery of products to our valued customers.

Requirements
- High school diploma or equivalent; associate or bachelor’s degree preferred.
- Proven experience in order processing or related administrative roles.
- Familiarity with order management systems or similar ERP software.
- Strong attention to detail and ability to maintain accuracy in a fast-paced environment.
- Excellent organizational and time management skills.
- Effective communication and interpersonal skills.
- Problem-solving and critical-thinking abilities.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work collaboratively within a team and independently.
- Prior experience in a customer service-oriented role is a plus.

Responsibilities/Duties
Order Processing: Receive, review, and process customer orders promptly and accurately, utilizing our order management system. Verify order details, including pricing, product availability, and customer information.
Order Coordination: Collaborate with the warehouse team to coordinate order fulfillment activities, including inventory availability, picking, packing, and shipping. Ensure orders are processed and shipped within specified timelines.
Order Confirmation: Provide order confirmation documentation to customers that includes order number, ship date, tracking information, etc. once the order is processed and fulfillment activities have been coordinated with all stakeholders.
Communication: Maintain effective communication channels with internal teams, including sales, customer service, and operations, to address any issues or concerns related to order processing, inventory, or shipping. Provide regular updates on order status to relevant stakeholders.
Problem Resolution: Proactively identify and address any potential issues or delays in order fulfillment. Collaborate with relevant departments to resolve problems and ensure customer satisfaction. Escalate complex issues to the appropriate supervisor or manager.
Documentation and Reporting: Maintain accurate and up-to-date records of customer orders, changes, and cancellations. Generate reports and metrics related to order processing and fulfilment activities as needed.
Customer Support: Assist the customer service team in handling inquiries, order changes, and other customer-related issues. Provide exceptional service and support to customers, ensuring their needs are met throughout the order process.
Process Improvement: Continuously identify opportunities to improve order processing workflows and systems. Propose and implement process enhancements to increase efficiency and accuracy.
